Administrative and Logistical Coordinator

We are seeking experienced professionals in the energy field for a major tendering opportunity with a leading oil and gas client in Qatar. The roles relate to technical research, exhibition development, and operational support.

Job Purpose:

To coordinate and manage administrative, logistical, and operational aspects of the exhibitions and observatories, ensuring smooth execution of fabrication, installation, procurement activities, visitor coordination, and gift shop operations in alignment with project timelines, compliance requirements, and quality standards.

Key Responsibilities:

  • Coordinate logistical planning and execution for exhibition structures, including fabrication, transportation, installation, commissioning, and dismantling across all project locations.
  • Support site-level coordination to ensure activities align with approved schedules, safety requirements, and operational constraints.
  • Manage administrative and procurement processes, including vendor coordination, purchase orders, documentation tracking, delivery schedules, and compliance records.
  • Maintain organized records of contracts, invoices, approvals, and material specifications in accordance with project governance requirements.
  • Liaise with suppliers, subcontractors, and internal teams to ensure timely availability of materials and services.
  • Oversee logistical coordination for gift shop operations, including inventory deliveries, storage arrangements, display setup support, and coordination with vendors.
  • Track operational issues and support corrective action follow-up in coordination with the PMO.
  • Provide regular progress updates to the Project Manager and support reporting requirements.

Qualifications & Experience

  • Minimum 6–10 years of experience in project administration, logistics coordination, or exhibition/event operations.
  • Experience managing multi-site logistics and vendor coordination.
  • Familiarity with procurement processes and documentation control systems.
